Audio Gallery Report

This allows you to access all audio recordings captured by dashcams across your fleet. Recordings are typically created when drivers manually trigger documentation events while on site.

Purpose: View, filter, and export audio notes recorded from Viaesys dashcams. It's commonly used for job documentation, condition reporting, and incident notes.

Overview

Viaesys dashcams have the ability to:

  • Automatically capture images at regular intervals

  • Allow drivers to manually trigger events using the dashcam button

  • Record audio notes associated with those events

Audio recordings are not continuous. They are only created when the driver initiates a recording.

How Audio Recording Works

The dashcam button performs two functions when pressed:

  1. Captures an image

  2. Starts an audio recording

Drivers typically use this when:

  • Entering a site

  • Leaving a site

  • Documenting conditions

  • Reporting obstacles or issues

  • Recording job notes

Example use case:

A driver arrives at a parking lot but cannot service part of the area because a vehicle is parked there. The driver:

  1. Presses the dashcam button

  2. The dashcam captures a photo

  3. The driver records an audio explanation describing the situation

This creates a timestamped record with both visual and audio documentation.

Site Tagging

When audio is recorded while the vehicle is inside a site geofence:

  • The audio file is automatically tagged with that site

  • It becomes searchable within reports

  • It can be filtered by location

This makes it easy to locate recordings related to specific properties.

Filters Available in Audio Gallery

The Audio Gallery provides several filters to help you locate recordings quickly.

1. Date Range

Select a specific time period to view recordings.

Examples:

  • Single day

  • Week

  • Month

  • Custom range

2. Sites

Filter audio recordings by one or more sites.

This is useful when:

  • Reviewing documentation for a specific property

  • Investigating incidents

  • Sharing records with customers

3. Customers

If your system contains multiple customers or accounts, you can filter recordings by:

  • Customer name

  • Client group

Viewing Audio Notes

After applying filters:

  • Audio recordings appear in a list or gallery format

  • Each recording is associated with:

    • Site name

    • Vehicle

    • Timestamp

    • Driver-triggered event

    • Related images (if available)

Exporting Audio Files

Audio recordings can be exported for external use.

Common export purposes include:

  • Client documentation

  • Insurance claims

  • Internal records

  • Compliance reporting

  • Archiving to a home server
