Tags in Viaesys

What are Tags?

Tags are customizable labels used to organize and search records across Viaesys.

They can be used to highlight important information, group similar records, support filtering, or indicate conditions that may not be captured by standard fields.

For example, tags can identify:

  • Sites that require 24-hour service

  • Projects that are High Priority

  • Sites that receive Pre-Treatment

  • Services such as Summer Only or Winter Only

  • Sites that are unavailable on certain days, such as Weekend Off

Tags do not change how a record functions. They provide an additional way to categorize and find information throughout the system.

Global and Entity-Specific Tags

When creating a tag, you must select a Category. The category determines where the tag can be applied.

Global Tags

A Global tag can be used across multiple entities such as Sites, Projects, Estimates, etc. in Viaesys.

Global tags are useful when the same classification may apply to different types of records.

For example:

Seasonal services, projects, sites, or routes

Because Global tags are not limited to one entity type, they provide a consistent way to categorize related information throughout the system.

Entity-Specific Tags

An entity-specific tag can only be applied to records within the selected entity.

For example, a tag assigned to the Site category will only be available when working with sites.

Examples of Site tags include:

Identifies sites that operate or can be serviced 24 hours a day

Pre-Treatment

Identifies sites requiring treatment before the main service is completed

Weekend Off

Identifies sites where work should not be scheduled on weekends

Available Tag Categories

Tags can be created for the following categories:

  • Global

  • Site

  • Service

  • User

  • Vehicle

  • Route

  • Equipment

  • Material

  • Part

  • Site Attachment

  • Site Map

  • Estimate

  • Project

Selecting one of these categories restricts the tag to that entity type. Selecting Global makes the tag available across the system.

Creating a Tag

To create a new tag:

  1. Navigate to the Tags page. You can also search for “Tags” using the search bar in the left-hand side menu.

  2. Select Add.

  3. Enter a clear and descriptive name in the Name field e.g. High-Priority.

  1. Open the Category dropdown.

  2. Select Global or the module where the tag should be used.

  3. Select Save.

The new tag will then be available when viewing or editing records in the selected category.

Example:

To create a tag called Weekend Off that is only used for sites, enter “Weekend Off” as the name and select Site as the category.

Bulk Assigning Tags

Tags can also be assigned to multiple records at once using the Assign Tags action. This is useful when several entries share the same condition, service requirement, priority, or seasonal classification.

For example if you want to bulk assign t

  1. Navigate to the Sites page.

  2. Open the Actions menu.

  1. Select Assign Tags.

  2. Use the Filter Sites field to narrow down the sites displayed, if required.

  3. Use Filter Tag Columns to control which tag columns appear in the assignment table.

  4. Select Apply to update the table based on the selected filters.

  1. Locate the required sites in the Name column.

  2. Assign the appropriate tag or tags in the corresponding tag columns.

  1. You can select and de-select a tag by clicking on the specific cell. A selected Tag will show up as a green checkbox mark.

  2. Review the assignments before closing the window.

The table displays sites as rows and available tags as columns, making it easier to apply and review tags across many sites in one view.

Note: The tags available in this screen include tags created for the Site category as well as applicable Global tags.

Filtering the Bulk Assignment Table

The bulk assignment screen includes two filtering options:

Filter Sites

Limits the table to selected sites or a specific group of sites

Filter Tag Columns

Limits the table to the tag columns you want to review or update

Filtering is especially helpful when your organization has a large number of sites or tags. It reduces the amount of horizontal and vertical scrolling required and helps prevent tags from being assigned to the wrong records.

Using Tags in JobTrack

Tags can also be used to filter sites within the JobTrack App.You can navigate to Sites in JobTrack and use the filter icon next to the search bar to apply tags.

To search using tags in JobTrack:

1. Log-in to JobTrack using the provided credentials

2. If you want to filter out specific sites, navigate to sites from the bottom tab

3. In the search bar at the top, click the Filter icon.

4. Select the tag(s) from the list. You can select a single tag or multiple tags and use the Match Any and Match All function to filter out results.

Match Any vs. Match All

When filtering by multiple tags, you can choose Match Any or Match All to control how the selected tags are applied to your results.

  • Match Any: Displays records that contain at least one of the selected tags. For example, if you select High-Priority, Winter Only, and 24-Hours, the results will include any record that has any one or more of those tags.

  • Match All: Displays only records that contain every selected tag. Using the same example, a record must have High-Priority + Winter Only + 24-Hours assigned to it to appear in the results.

Tip: Use Match Any when you want a broader search across several tags. Use Match All when you want to narrow the results to records that meet all of your selected tag criteria.
