Portal
All configuration and setup is completed through:
portal.viaesys.io
From the portal you can:
Claim devices
Create vehicles
Set up sites and geofences
Manage users
View live tracking
Run reports
Mobile Apps
Two apps are commonly used:
Viaesys AllTrack
Management app
Similar to the portal but primarily view-only
Used for live monitoring and checking activity on mobile
Viaesys InstallTrack
Installation app
Used to install and validate dashcam devices
Recommended when installing multiple units
2. Claiming a Dashcam Device
There are two ways to add a device to your account.
Option 1 — Claim from the Portal (Quick Method)
Log into the portal
Click Claim Device
Select Dashcam
Enter the last 6 digits of the IMEI number (printed on the dashcam)
Click Lookup
Click Claim
The device will now appear in your account.
Option 2 — Install Using InstallTrack (Recommended)
InstallTrack allows you to:
Scan the IMEI barcode
Document installation photos
Run automatic device tests
Automatically claim the device into your account
Information required during install
IMEI number (scan barcode)
SIM card (optional but recommended)
Power source
Vehicle asset name
Master shut-off indicator
Installation photos:
Power wiring
GPS location
Mounted camera
Button location
Vehicle overview
After submission, InstallTrack automatically checks:
Cellular connection
GPS signal
Camera
SD card
If the installer is interrupted, progress is saved and can be completed later.
3. Creating Vehicles
A device must be attached to a vehicle to function correctly.
To create a vehicle:
Go to Vehicles
Click Add
Enter a Vehicle Name
Click Save
Naming examples:
Unit number
Year / Make / Model
VIN
Equipment name
4. Attaching a Device to a Vehicle
There are two methods:
Recommended Method — From Vehicle Screen
Open the vehicle
Select Attach Tracking Device
Choose the device
Click Attach
Alternative Method — From Device List
Open the device
Use Select Vehicle
Save
5. Creating Sites and Geofences
Sites are critical because:
Visits are created when vehicles enter geofences
Dashcam photos are linked to sites
Reports depend on geofence data
Required Site Information
Site Name
Address (street + city minimum)
Geofence
Drawing the Geofence
Use the map search to locate the site
Switch to Satellite view
Click around the serviceable area
Close the shape to complete the geofence
Best Practice
Be generous with boundaries:
GPS accuracy is measured in meters
Vehicles may not follow exact curb lines
Avoid overlapping geofences between adjacent sites
6. Site Voice Messages (Optional Feature)
Under the Dashcam section of a site you can configure:
Message In — played when entering a site
Message Out — played when exiting a site
Common uses:
Confirm correct property
Provide instructions
Safety reminders
Tip: Usually only configure one message to avoid repetition.
Once a site is created and has an active associated geofence, anytime a vehicle enters that site a site visit is created automatically.
7. Creating Users
To add users:
Go to Users
Click Add
Enter:
Name
Email (does not need to be real)
Password (minimum 8 characters)
Role
Roles are customized by Viaesys.
Common roles:
Admin (portal + app)
AllTrack only (mobile view only)
8. Dashcam Core Functionality
Dashcams perform several automatic functions.
Automatic Photos
Photos are taken based on:
Forward-Facing Camera
Immediately upon entering a geofence
Every 3–4 minutes while moving inside a site
Based on distance when driving on roads
Interior Camera
When ignition turns on and vehicle begins moving
Used to identify driver occupancy
Manual Photo Button
Press once:
Takes a photo
Announces “Taking picture”
Press and hold:
Records an audio note (up to 30 seconds)
Transcribed automatically
Linked to the site visit if inside a geofence
Audio is only recorded when the button is pressed.
Video Recording
Dashcams record video continuously to the SD card.
Video can be accessed by:
Removing SD card
Connecting via phone when near the device
9. Live View Overview
Live View shows:
Vehicle locations
Breadcrumb trails
Site visits
Photos
Status indicators
Breadcrumb Colors
Green — Breadcrumb trail (moving)
Blue— speed changes
Clicking a Vehicle or Trail Shows
Latest photo
Interior photo
Speed and location
Status
Status Indicators
Common icons include:
Orange - Idling
Blue - Entering or Exiting a geofence
Purple - Ignition On
Green - Moving
Black - Parked
SD Card Warning
Missing or corrupted SD card
May require formatting
GPS Disconnected
Antenna unplugged or damaged
Poor GPS Accuracy
Antenna placement issue
Obstructed signal
10. Image Gallery Report (23:52)
The Image Gallery allows you to:
Filter by date range
Filter by vehicle
Filter by site
View photos chronologically
Export images to PDF
This is the preferred method for reviewing photos.
11. Audio Gallery
Audio Gallery displays:
Driver voice notes
Transcriptions
Site association (if inside geofence)
12. Access Groups (Permissions Control)
Access Groups allow you to limit what users can see.
You can restrict:
Vehicles
Sites
Equipment
Users
Example uses:
Supervisors see only their fleet
Hide executive vehicles
Limit access by region
Access Groups override standard permissions when assigned.
13. Key Reports
Site Vehicle Activity Report (Most Important)
Shows:
Visits per site
Time in / time out
Duration
Photos
Vehicle details
You can print individual visits to PDF for:
Clients
Insurance
Documentation
Vehicle Activity & Speeding Report
Shows:
Distance traveled
Travel time
Idle time
Time on site
Speeding alerts
Speed alerts are triggered only when thresholds are exceeded for a period of time.
Vehicle Trip Details Report
Highly detailed movement report.
Important:
Run for 1 vehicle
For short date ranges
Reports can be very large.
14. Device Installs Section (Portal)
If InstallTrack was used, the portal shows:
Installation status
Test results
Installer name
Device information
